Vacancy: Administrative Assistant (preferably full-time (40 hours) with flexibility for part-time (32 hours))

The Permanent Bureau of the HCCH (The Hague) is seeking an:
Administrative Assistant (preferably full-time (40 hours) with flexibility for part-time (32 hours))
The successful candidate will possess the following qualifications:
- Very good secondary level of education, preferably post-secondary;
- At least three years of relevant professional experience, preferably within an international working environment;
- Fluent in English, both written and oral, with a working knowledge of French and / or Spanish, for this position preference will be given to candidates with native English;
- Excellent communication and organisational skills;
- Excellent command of Microsoft Office 365 (SharePoint, Outlook, Word, Excel, PowerPoint) as well as a high level of proficiency in MS Dynamics 365.
The candidate will also be able to:
- work under pressure with attention to detail and to demanding deadlines in a forward-facing role, while remaining flexible and proactive;
- learn relevant work processes quickly while also contributing to their further improvement;
- work in a multicultural environment;
- interact effectively with a variety of internal and external contacts with confidence and poise.
The successful applicant will provide administrative support in English, including drafting, formatting, reviewing and proofing documents, as well as day-to-day correspondence, assisting with the coordination and advancement of various HCCH projects, updating the HCCH’s databases, answering the telephone and door, and providing general on-site assistance in coordination with the colleagues of the Administrative Unit. The Administrative Assistant will also be called upon to carry out other related tasks as needed, in collaboration with the members of the Administrative Team. The successful applicant will report to the Head of Administration.
Type of appointment and duration: Two-year contract (with a six-month probationary period), possibility for renewal.
Working hours: 9:00 a.m. – 6:00 p.m. (with a one-hour lunch break). The Permanent Bureau has a teleworking policy (available online).
Grade (Co-ordinated Organisations scale for the Netherlands): B2/1, subject to relevant experience.
